GUIDELINES FOR SELF COLLECTING THE DEGREE/DIPLOMA & ACADEMIC TRANSCRIPT AT THE COUNTER
- Graduates will be given information about the collection of the degree/diploma & academic transcript before the procession into the hall.
- Graduates can only collect their degree/diploma & academic transcript after their respective session ends.
- The graduate must return the Convocation Attire borrowed before collecting the degree/diploma & academic transcript (not applicable to graduates who did not attend the ceremony)
- Please present the receipt of returning convocation attire and also graduate’s MyKad/ Passport/ Matric Card (without MyKad/ Passport/ Matric Card: the degree/diploma & academic transcript will not be issued to the graduate)
GUIDELINES FOR REPRESENTATIVES COLLECTING THE DEGREE/DIPLOMA & ACADEMIC TRANSCRIPT AT THE COUNTER
- The representative can only collect the degree/diploma & academic transcript once the graduate’s respective session ends.
- Fill up the consent form for collecting the degree/diploma & academic transcript: Form K1
- Enclose a copy of the graduate’s MyKad/Passport/Matric Card
- Representatives need to bring and hand in their MyKad/Passport to verify the consent given.
- Hand in the convocation attire return slip (not applicable to graduates who did not attend the ceremony)
- Hand in confirmation of completion slip of the online tracer study (upon request)
- Hand in the convocation fees payment slip (upon request)
** Note:
If the Form K1 and copies of MyKad/Passport and Confirmation slip of the online tracer survey are not attach together, the degree/diploma & academic transcript will not be issued to the representative.
GUIDELINES FOR MAILING THE DEGREE/DIPLOMA & ACADEMIC TRANSCRIPT
- Fill up the form for mailing the degree/diploma & academic transcript: Form K2
- The form can only be submitted to the Academic Management Division, Office of Deputy Vice Chancellor (Academic & International) or UTMSPACE office T05 Building, UTM Johor Bahru one week after the convocation ceremony. The addresses are as listed below.
For full-time undergraduates/all post-graduates:
- The mailing fees of RM10.00 will be charged. Graduates need to enclose a postal order or money order to be made out to “Bendahari UTM”.
- Return Form K2 to Academic Management Division, Office of Deputy Vice Chancellor (Academic & International) UTM Johor Bahru.
For part-time undergraduates (UTMSPACE):
- The mailing fees of RM10.00 will be charged. Graduates need to enclose a postal order or money order to be made out to “UTMSPACE”.
- Return Form K2 to UTMSPACE, Centre of Part Time Studies, Level 4, T05 Building, UTM Johor Bahru.
**No convocation attire return slip is required for those who did not attend the ceremony
The graduation fee is compulsory to all graduates. Uncollected degree/diploma & academic transcript will be kept by the university. However, the university will not be held responsible for any loss or damage to the degree/diploma & academic transcript.
DEGREE/DIPLOMA & ACADEMIC TRANSCRIPT WILL NOT BE ISSUED:
- if the graduate fails to pay the convocation fee; or
- if the graduate fails to return the convocation attire borrowed; or
- if the graduate fails to return books borrowed from the UTM Library; or
- if the graduate still have any outstanding debts to any faculty/department of the University; or
- if the graduate fails to return any material/equipment borrowed from any faculty/department of the University; or
- if the graduate fails to fulfill the Graduate Tracer Study Survey
Kindly present any receipt due to the clearance which have been made.
